Responsibilities:

  1. Project Coordination:
    • Assist the project manager in planning, scheduling, and coordinating project activities.
    • Liaise with clients, architects, contractors, and suppliers to gather project information and updates.
    • Maintain project documentation, including contracts, drawings, specifications, and change orders.
    • Monitor project progress and ensure adherence to timelines and budgets.
  2. Communication and Collaboration:
    • Act as a point of contact for internal teams and external stakeholders regarding project-related inquiries.
    • Facilitate effective communication amongst team members, ensuring everyone has the necessary information and resources.
    • Coordinate meetings, prepare agendas, and document meeting minutes.
    • Collaborate with cross-functional teams to ensure smooth project execution.
  3. Resource Management:
    • Assist in resource allocation and procurement, ensuring timely availability of materials, equipment, and services.
    • Track project expenses and maintain cost reports.
    • Support inventory management by monitoring stock levels and coordinating replenishment when necessary.
    • Assist in quality control inspections to ensure compliance with project requirements.
  4. Documentation and Reporting:
    • Maintain accurate and up-to-date project files and records.
    • Prepare progress reports, project status updates, and other relevant documentation.
    • Assist in the preparation of project presentations and reports for internal and external stakeholders.
    • Conduct data analysis to identify trends, issues, and areas for improvement.
  5. Health and Safety Compliance:
    • Promote and maintain a safe working environment by adhering to health and safety regulations and best practices.
    • Assist in conducting safety inspections and addressing potential hazards or risks.
    • Raise awareness amongst team members about safety protocols and procedures.

Qualifications and Skills:

  • A degree or diploma in project management, construction management, or a related field is preferred. For the right candidate we can provide the necessary 3rd level training.
  • Proven experience in a project support or coordination role, preferably in the construction or manufacturing industry.
  • Strong organisational and time management skills.
  • Excellent communication and interpersonal skills.
  • Proficient in using project management software and tools.
  • Attention to detail and ability to multitask in a fast-paced environment.
  • Problem-solving and analytical abilities.
  • Knowledge of the pharmaceutical and biopharmaceutical industries is a plus.
